This Privacy Policy explains how Traverse Property Management (“we,” “us,” or “our”) collects, uses, protects, and otherwise handles your Personally Identifiable Information (PII) in accordance with our website and services. Please read it carefully. 

SMS / Text Messaging Communications 

By providing your mobile phone number and opting in through our website forms, lease agreements, property management agreements, or other consent mechanisms, you agree to receive text messages from Traverse Property Management. Message types may include leasing inquiries, property information, tour scheduling, maintenance coordination, inspection scheduling, rent and payment reminders, account notices, owner fund updates, and other service-related communications. 

Message frequency varies. Message and data rates may apply. Reply HELP for help. Reply STOP, CANCEL, or UNSUBSCRIBE at any time to opt out. Consent to receive text messages is not a condition of any purchase or service. 

We do not sell, rent, or share your mobile phone number or SMS consent information with any third party or affiliate for their marketing purposes. Mobile opt-in data and consent are used solely to deliver the messages you have requested and are not shared with unaffiliated third parties under any circumstances. 

What Personal Information Do We Collect? 

Personal information may include an individual’s first name or initial and last name in combination with any of the following: 

  • Date of birth 
  • Social Security number or other government-issued identification number 
  • Mother’s maiden name 
  • Unique electronic identification number or routing code 
  • Telecommunication access devices, including debit or credit card information 
  • Financial institution account information 
  • E-mail address and mobile phone number 

When Do We Collect Information? 

  • In consumer reports from reporting agencies in connection with lease or loan applications, or for other reasons the consumer has authorized. 
  • In lease applications a prospective tenant completes. 
  • In other real estate related forms the customer or client completes in or related to a transaction. In tax reporting forms the customer or client is required to complete. 
  • When you fill out a form, submit an inquiry, or enter information on our website. 
  • When you opt in to receive SMS communications via our website, chat widget, lease agreement, or property management agreement.

How Do We Use Your Information? 

Prospective Tenants: Personal information is primarily used to obtain consumer reports (credit checks), perform background checks, and conduct rental history searches. Consumer report information may be discussed with landlords for whom we manage the property. We may also report information to credit reporting agencies. 

Property Owners: When we act as a property manager, we use the property owner’s personal information only to deliver management services, file required governmental reports, establish ACH deposits, or for other purposes the owner has authorized. 

Clients (Buyers, Sellers, Landlords, Tenants): Personal information may be conveyed, on the client’s behalf and at the client’s instruction, to service providers such as mortgage lenders and title companies as needed to complete a transaction. 

We may also use the information to: 

  • Improve our website and services. 
  • Respond to customer service requests. 
  • Administer contests, promotions, surveys, or other site features. 
  • Process transactions quickly and accurately. 
  • Send periodic emails and text messages regarding your account, orders, or services. 

 

How Do We Protect Visitor Information? 

  • Written files are kept under lock and key. 
  • Electronic records are protected by access credentials assigned only to authorized personnel. Sensitive information is encrypted via Secure Socket Layer (SSL) technology. 
  • Our website is regularly scanned for security vulnerabilities and malware. 
  • Personal information is stored on secured networks and is accessible only to a limited number of persons with special access rights, who are required to keep the information confidential. 
  • We instruct our agents and independent contractors to protect personal information in the same manner described in this policy. 

 

Do We Use Cookies? 

Yes. Cookies are small files that a site transfers to your computer’s hard drive through your web browser (if permitted) that enable the site’s systems to recognize your browser and remember certain information. Mobile phone numbers and SMS opt-in consent are excluded from all third-party sharing. This information is never sold, rented, or shared with third parties or affiliates for their marketing purposes.

Occasionally we may include or offer third-party products or services on our website. These third-party sites have separate and independent privacy policies. We have no responsibility or liability for the content and activities of these linked sites, but we welcome feedback about them. 

California Online Privacy Protection Act (CalOPPA) 

In accordance with CalOPPA, we agree to the following: 

  • Users can visit our site anonymously. 
  • Our Privacy Policy link is easily found on our homepage or on the first significant page after entering our website, and includes the word “Privacy.” 
  • Users will be notified of privacy policy changes on our Privacy Policy page. 
  • Users can change their personal information by emailing us, calling us, or logging into their account. We honor Do Not Track (DNT) browser signals and do not track, plant cookies, or use advertising when DNT is enabled. 
  • We do not allow third-party behavioral tracking. 

 

Children’s Online Privacy Protection Act (COPPA) 

We do not specifically market to children under 13, and we do not knowingly collect personal information from children under 13. 

Fair Information Practices 

Should a data breach occur, we agree to take the following responsive actions: 

  • Notify affected users via email within seven business days. 
  • Notify affected users via phone call within seven business days. 
  • Notify affected users via in-site notification within seven business days. 
  • Uphold the individual redress principle, allowing affected individuals legally enforceable rights against data collectors and processors who fail to adhere to the law. 

 

CAN-SPAM Act

The CAN-SPAM Act is a law that sets the rules for commercial email, establishes requirements for commercial messages, gives recipients the right to have emails stopped from being sent to them, and spells out tough penalties for violations.

We collect your email address to:

  • Send information, respond to inquiries, and other requests or questions.
  • Process orders and to send information and updates about orders
  • We may also send you additional information related to your product and service.
  • Market to our mailing list or continue to send emails to our clients after the original transaction has occurred

To be in accordance with CAN-SPAM, we agree to the following:

  • NOT use false, or misleading subjects or email addresses
  • Identify the message as an advertisement in some reasonable way
  • Include the physical address of our business or site headquarters
  • Monitor third party email marketing services for compliance, if one is used.
  • Honor opt-out/unsubscribe requests quickly
  • Allow users to unsubscribe by using the link at the bottom of each email

Opting Out

  • To stop receiving messages from reply STOP, CANCEL, or UNSUBSCRIBE.

 

Access to Personal Information

Access to personal information in our files is limited to the agent or broker servicing the transaction, the office manager to whom the agent reports, property managers, assistant property managers, application processors, and other employees who need access to assist agents, brokers, accountants, or the office manager in processing or performing a task. 

Disposal of Personal Information 

We use reasonable measures to dispose of personal information. Documents are typically disposed of by shredding or burning; electronic files are erased by means that make them unreadable; and personal information may otherwise be eradicated in ways that render it unreadable.
